This is a first draft, written to be honest about what we actually collect and use today. It hasn't had a formal legal review yet.

What we collect

  • Families: the contact and booking details you give us when booking a session (name, email, learner's first name and level, payment handled directly by Stripe — we don't store card details ourselves).
  • Tutors: what you tell us in the application form, plus PVG/reference-check information we verify during onboarding.
  • Email subscribers: your email address, and which list you joined (e.g. the general mailing list vs. The Den waitlist), collected with double opt-in.

Why we collect it

To run the service: matching families with tutors, processing bookings and payments, running safeguarding checks, and sending the emails you've asked for (booking confirmations, session notes, the newsletter you opted into).

Who we share it with

We use a small number of processors to run the site. None of them get to sell your data:

  • Stripe — payments and tutor payouts.
  • Cal.com — booking and scheduling.
  • Supabase — our database and account sign-in.
  • PostHog — product analytics, so we can see where the booking journey works and where it doesn't. See our cookies policy for detail on how this works technically.
  • Kit — for the mailing list, with double opt-in.

Children's data

We don't create learner accounts and we don't collect email addresses from children. We hold only what a parent chooses to tell us about their child (first name, level, learning context) — never used for marketing, ever. See our safeguarding policy for the full detail.

Your rights

Under UK GDPR you can ask to see the data we hold about you, ask us to correct it, or ask us to delete it. Email the founder and we'll action it — usually well within the 30-day statutory window.

How long we keep it

We keep booking records as long as needed for accounts and safeguarding purposes. Unsubscribing from an email list removes you from future sends immediately.
